In case of a file-system, controlling data that is widely dispersed over various files is a complex task. This is because, different users may use the same data in their respective file-systems for different information requirements.

As an Example : The two fields, emp-num and emp-name of an employee record of an enterprise can be used by its three departments 1)Human Resources 2) Administration and 3) Finance for different purposes as shown below :

Human Resources : uses to specify employee professional capabilities and employee project allocations
Administration department uses to mark the Absenteeism and over-time recordings, whereas
Finance uses in pay-roll processing and allowance processing
A single change to be implemented might necessitate multiple entries across different files. Omitting any one of them,leads to erroneous information.

In contrast, a DBMS, however,
- Groups together all the logically related data used by different users for different applications

- Enables ease in controlling data, since, a single updation incorporates the change wherever required.
